Privacy policy
This policy explains how HiPer Business Solutions handles personal data when people use HiPer Rep, connect third-party services or communicate through the platform.
Last updated: 6 August 2026
1. Who we are
HiPer Rep is operated by HiPer Business Solutions. For personal data used to provide and secure the platform, manage subscriptions and support our customers, HiPer Business Solutions is the data controller. You can contact us at support@go-hiper.com.
Agencies and their clients decide how they use prospect, customer, review-request and reputation-management data. For that processing, the relevant agency or client is normally the controller and HiPer Business Solutions acts as its processor under the applicable service agreement.
2. Information we process
Depending on how HiPer Rep is used, we process:
- names, work email addresses, roles and account credentials;
- agency, client, location and billing-administration details;
- prospect and customer records entered, imported or found through authorised business-search services;
- Google Business Profile account, location, review, reply and performance information an authorised user connects;
- email connection details, sender settings and message delivery records;
- support messages, reports, campaigns and account activity; and
- technical records such as IP address, browser information, security events, audit logs and essential session cookies.
We receive this information directly from users, from their agency or client administrator, from connected services such as Google and email providers, and from public business listings selected for an audit.
3. Why we use information
We use personal data to:
- create accounts and provide the contracted platform;
- connect and synchronise services requested by the user;
- generate reports, send authorised communications and manage reviews;
- provide support and communicate service or security notices;
- protect accounts, prevent abuse and maintain audit records;
- monitor reliability, diagnose faults and improve the service; and
- meet legal, regulatory and accounting obligations.
Our lawful bases are performance of a contract, compliance with legal obligations and our legitimate interests in providing, securing and improving a business service. Where a user connects a Google account or another optional service, the user actively authorises that access and can revoke it later.
4. Google user data
HiPer Rep requests the minimum Google permission needed to access the Business Profiles that a user is authorised to manage. We use that data to display profile information, reviews, replies and performance information, and to perform actions the user requests in HiPer Rep. We do not use Google user data for advertising and we do not sell it.
HiPer Rep's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.
A user can disconnect Google Business Profile in HiPer Rep or revoke access from their Google Account. Disconnection stops future imports; deletion requests can be sent to support@go-hiper.com.
5. Sharing and international transfers
Information is visible only to authorised users within the relevant platform hierarchy: HiPer platform administrators, the responsible agency and its authorised client users. We also use carefully selected hosting, infrastructure, email and integration providers where needed to operate the service. We require service providers to protect data and use it only for the services they supply to us.
Some providers, including Google and customer-selected email services, may process information outside the UK. Where UK data-protection law requires it, transfers are protected by an adequacy regulation or appropriate contractual safeguards.
6. Retention and security
We keep account and service data while the relevant account is active and afterwards only for as long as needed to complete closure, resolve disputes, maintain security and meet legal obligations. Retention also depends on the customer's instructions and the type of record. Backup copies expire through a controlled backup lifecycle.
We use access controls, tenant separation, encryption for connection credentials, TLS in transit, restricted database access, monitoring, backups and audit logging. No online service can guarantee absolute security, so users must protect their passwords and notify us promptly about suspected unauthorised access.
7. Your rights
Subject to the circumstances and lawful basis, UK data-protection law may give you rights to access, correct, erase, restrict or receive your personal data, and to withdraw consent where consent applies.
You have the right to object to processing based on legitimate interests and to direct marketing. Contact support@go-hiper.com to exercise your rights.
Please contact us first if you have a concern. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.
8. Cookies, children and changes
HiPer Rep uses essential cookies or equivalent browser storage to keep users signed in and protect sessions. We do not currently use advertising cookies. The service is intended for business users aged 18 or over and is not directed at children.
We may update this policy as the service or law changes. Material changes will be communicated through the platform or by email, and the latest version will always appear on this page.
